AI Curator Privacy Notice

Last updated: 10/03/2026

1. INTRODUCTION

AI Curator LLC ("AI Curator", "we", "us") values the privacy of the people who use our website at ai-curator.ai, the AI Curator Consulting Suite, and our apps ConsultCastAI, ClientBriefAI, and AdoptBriefAI (together, the "Services"). This notice explains what personal information we collect, how we use and share it, and the choices you have. By using the Services, you agree to this notice.

Personal information does not include information that has been deidentified or combined so that it can no longer be linked to a person.

The short version:

- We keep the details of your account: your name, email address, password (stored in scrambled form), plan, and language.

- Your client work is saved as files on your own device. We do not keep a copy of your clients' files on our servers.

- When you use an AI feature, the information that feature needs is sent to our AI provider to produce the result, then returned to you.

- We do not sell your personal information.

- Advertising and analytics cookies are used only on our public pages, and only if you accept them.

- You can ask us to delete your account at any time by emailing scott_walker@ai-curator.ai.

2. INFORMATION YOU PROVIDE

Registration information. When you create an account or are invited to one, we collect your name, email address, and the language you choose. We store your password only as a one-way scrambled value, so we cannot read it. We record when your account was created, whether your email address has been confirmed, and whether you accepted an app's user agreement. If you add them, we also store your company name, the contact line that appears on your reports, and your hourly rate.

Communications. If you email us or ask for support, we keep your message and our reply.

Practice sessions. In ConsultCastAI, we store the written transcript of each practice conversation, your coaching scores, and the written debrief, so that you can review them later. See section 6.

Payment information. Payments are handled by a third-party processor, Stripe. Your card details are entered on Stripe's own pages and never reach our servers. We keep the Stripe customer and subscription reference numbers, your plan, and your billing status.

3. INFORMATION WE COLLECT AUTOMATICALLY

Sign-in and device information. We keep a record of each active sign-in and when you last signed in, so that we can keep you signed in and sign you out everywhere when you ask. To stop password guessing, we briefly record failed sign-in attempts, including the internet address (IP address) they came from. These records are cleared after a short time. Our hosting provider also keeps routine technical logs, which include IP addresses, browser type, and the pages requested.

Usage information. We keep simple counts, such as how many practice minutes or AI requests an account has used, so that plan limits work. If you are invited to a ConsultCastAI team, we store the email address the invitation was sent to. We keep a private marker that a free trial has been used for an email address, so that a trial cannot be repeated. This marker is a scrambled value, not the email address itself.

Cookies and similar technologies. The suite uses one cookie to keep you signed in. The suite and the apps also keep a small amount of information in your browser, such as your sign-in, your language, your logo, and your saved choices. These are needed for the Services to work and are not used to track you. On our public welcome page and sign-up page we may also use analytics and advertising cookies and pixel tags, but only if you accept them. See section 11.

4. INFORMATION FROM OTHER SOURCES

Stripe tells us whether your subscription is active and which plan you hold. When you move between the suite and the apps, each one receives your account details from the suite (see section 7). If you connect your own HubSpot account in ClientBriefAI, we store the permission that lets us send updates to it.

5. YOUR CLIENTS' INFORMATION

The work you do for your clients belongs to you and stays with you.

Stored on your device. Client sessions, reports, your client list, your templates, and your logo are saved as files on your device or in your browser's storage. We do not store your clients' files on our servers, and we cannot open or recover them. Please keep your own backups.

Sent only when you use an AI feature. Features such as generating an assessment, a readiness report, an adoption plan or scorecard, or asking BriefPilot, AdoptPilot, or CuratorPilot a question need to read the relevant client information. When you use one, the information that feature needs (for example the client's name, your notes, scores, and answers) is sent through our server to our AI provider, Anthropic, to produce the result. We do not save this information in our database. CuratorPilot sends only the facts it needs to answer, and sends your free-text notes only when you approve it, one section at a time.

Two exceptions you control. If you turn on a reassessment reminder in ClientBriefAI, we store that client's name and the reminder date so that we can email you the reminder. If you connect your own HubSpot account in ClientBriefAI, the client summary you choose to sync is sent to your HubSpot account when you confirm it.

Your logo. When you build a report, your logo is sent to our server for a moment to work out matching colors. It is not saved there.

Dictation. If you dictate notes, speech is turned into text by your browser. Depending on your browser, the audio may be processed by the browser's maker (for example Google or Microsoft).

6. VOICE AND VIDEO IN CONSULTCASTAI

Your microphone. In a practice session, your speech is turned into text by your browser's built-in speech recognition. Depending on your browser, that audio is processed by the browser's maker (Google for Chrome, Microsoft for Edge). Our servers receive only the resulting text. Practice sessions with a live avatar are run by our avatar provider, Anam. During those sessions your browser connects directly to Anam, and your microphone audio is processed by Anam to run the live conversation. Voice practice needs your microphone, so this cannot be turned off for avatar sessions.

Your camera. Your camera picture is shown only to you, on your own screen. It is not recorded, and it is not sent to us or to anyone else.

No recordings. We do not record or store audio or video of your practice sessions on our servers.

What is stored. We store the written transcript, your scores, and the written debrief. The text of each conversation is sent to Anthropic to produce the AI client's replies and your debrief. The AI client's replies are sent to Anam so the avatar can speak them.

How long practice sessions are kept. Full transcripts are deleted 90 days after the session. Debriefs and scores are deleted after 12 months. If your subscription is cancelled, your sessions are deleted 90 days after your paid period ends. You can delete any session, or all of them, at any time from within the app, and you can download a copy of your data from Account settings.

7. SINGLE SIGN-ON

You sign in once at the AI Curator Consulting Suite, and that sign-in opens ConsultCastAI, ClientBriefAI, and AdoptBriefAI. To make this work, the suite tells each app who you are: your name, email address, language, and whether your email address has been confirmed. Each app keeps its own account record for you, linked to your suite account. Signing out in one place signs you out everywhere.

8. HOW WE USE INFORMATION

We use the information described above to:

- provide, maintain, and improve the Services, including AI features

- create and run your account and keep it secure

- take payment and manage your plan

- communicate with you and provide support, including invitations, password links, email confirmations, and reminders you asked for

- keep a list of the people who have signed up for ClientBriefAI, so that we can follow up with customers

- understand, if you accept cookies, which of our ads bring visitors to our site

- detect and prevent fraud and misuse

- comply with the law

- for other purposes that we tell you about when we collect the information

We do not use your clients' information for marketing or advertising, and we do not sell personal information.

9. HOW WE SHARE INFORMATION

Service providers. We share personal information with the companies that help us run the Services, and only what each needs:

- Render: hosts our apps and databases in the United States.

- Stripe: processes payments and holds your billing details.

- Anthropic: provides the AI that powers assessments, reports, coaching, and the Pilot assistants. It receives the content needed for each request. It does not receive your account name or email address from us.

- Anam: provides the live avatar in ConsultCastAI, as described in section 6.

- Resend: delivers our service emails to you.

- HubSpot: holds our own list of people who have signed up for ClientBriefAI (name and email address).

- GoDaddy: hosts our website at ai-curator.ai.

Advertising and analytics partners. If you accept cookies on our public pages, Google, Meta, and LinkedIn receive information about your visit, such as your IP address, your browser and device, the page you viewed, and whether you completed sign-up. Each handles that information under its own privacy policy.

Browser services. When you use your microphone, your browser's maker (for example Google or Microsoft) processes the audio to turn it into text. Some pages also load web fonts and icons from Google.

Other users. If you join a team in ConsultCastAI, the team owner can see your email address and when you joined.

As required by law. We may disclose information if the law requires it, or to protect our rights, our customers, or the public.

Merger or sale. If AI Curator is sold or merged, account information may pass to the new owner, who must continue to honor this notice.

With your consent. We share information in other ways only if you ask us to or agree to it.

A current list of the partners we use is available on request at scott_walker@ai-curator.ai.

10. HOW LONG WE KEEP INFORMATION

- Account information: for as long as your account is open. We delete it when you ask us to.

- Sign-ins: a sign-in to the suite lasts up to 30 days from your last use. A sign-in to an app lasts up to 7 days and is renewed while your suite sign-in is still good.

- Failed sign-in records: cleared after a short time, normally within minutes.

- ConsultCastAI practice sessions: as described in section 6.

- ConsultCastAI team records: a team's plan and billing reference, and the email addresses of people invited to a team, are kept until we delete them by hand. Ask us and we will remove them.

- Free trial marker: the scrambled marker that a free trial was used for an email address is kept indefinitely.

- Reminder records: until you turn the reminder off, remove the client, or your account is deleted.

- Billing records: Stripe keeps payment records as required by tax and accounting rules.

- Technical logs and backups: kept by our hosting provider for a limited time.

11. YOUR CHOICES

Deleting your account. Email scott_walker@ai-curator.ai from the email address on your account and ask us to delete it. We will delete your suite account and your account in each app within 30 days and confirm when it is done. In ConsultCastAI you can also delete your account yourself from Account settings. Because you sign in through the suite, we confirm it by emailing you a link. Please cancel any active subscription first, or tell us to cancel it for you.

What remains after deletion. Stripe keeps its payment records. In ConsultCastAI, three records are kept and are not deleted automatically: a scrambled marker that a free trial was used for your email address, so that trials cannot be repeated; the record of a team you owned (its plan and billing reference, with no name or email address); and, if you invited people to a team who never created an account, the email addresses you invited. Copies in routine backups and logs are removed as those expire. Files saved on your own device are yours and are not affected.

Cookies and the consent notice. On our public welcome page and sign-up page, a notice asks whether we may use analytics and advertising cookies from Google Analytics, the Meta Pixel, and the LinkedIn Insight Tag. These are loaded only after you choose Accept. If you choose Decline, they are not loaded. You can change your choice at any time using the "Cookie settings" link at the bottom of the welcome page. These cookies are never used inside the suite or the apps once you are signed in. You can also block or delete cookies in your browser settings. Blocking the sign-in cookie will stop you from signing in.

Emails. We send service emails, such as password links and confirmations, that are needed to run your account. If we send you a marketing email, you can unsubscribe using the link in it or by emailing us.

Access and correction. You can ask us for a copy of the personal information we hold about you, or ask us to correct it. You can change your name, company details, and password in your account.

Other rights. Depending on where you live, you may have additional rights under local law, such as the right to object to certain uses or to complain to a data protection authority. To use any of these rights, email scott_walker@ai-curator.ai. We will not treat you differently for doing so.

12. THIRD-PARTY CONTENT

The Services contain links to other websites and services, such as Stripe's payment pages and HubSpot. We are not responsible for the privacy practices of sites we do not run. Please read their privacy policies.

13. SECURITY

We use reasonable administrative, technical, and physical safeguards to protect your information, including encrypted connections, scrambled passwords, sign-ins that expire, and limits on repeated sign-in attempts. Only people at AI Curator who need account information to run the Services can see it. No system is 100% secure, so please use a strong password and tell us right away if you think your account has been misused.

14. CHILDREN'S PRIVACY

The Services are for business use by adults. We do not knowingly collect personal information from children under 13. If you believe a child has given us personal information, contact us and we will delete it.

15. INTERNATIONAL VISITORS

The Services are hosted in the United States and intended for use from the United States. If you use the Services from another country, your information will be transferred to and processed in the United States.

16. CHANGES TO THIS NOTICE

We may update this notice as the Services change. Changes are posted on this page and take effect when posted, with a new "Last updated" date. If a change is significant, we will tell you by email or in the app.
